Clearing and Forwarding – Administrative Role (July 2022)
Duties/Responsibility Summary
• Preparing daily import/export shipment updates
• Follow up all processes related to export shipment (vessel suggestions and
bookings, loading list to be sent to customs for release order, send loading list
to shipping line, follow up on stuffing of containers and timely pick up of empty
containers and all other processes related to export shipment inc. accurate
verification of draft BL and other documentation wording)
• Follow up all processes related to import shipments to avoid storage and demurrage (e.g. for Rwanda shipment, timely raising WH7 and T1 and ensure loading before free days at port are over, Kigoma shipments requiring
warehouse inspection and port confirmations)
• Organisation and coordination with transporters, shipping lines and port authorities for both Import and export shipments
• Daily cash/bank payment entries in group ERP system
• Reconciliation of bank statements and sending ledger and MIS reports to Management
• Creating, verifying and sending debit notes and invoices to both internal and
external clients
• Payment followup and auditing
• Overall supervision of operations for both import and export shipments
• Payroll and staff management
• Liaising with company accountants to ensure statutory reporting requirements are met
Qualification/Skills
• Fluent in English, Kiswahili and Hindi/Gujarati
• Well versed with MS Office (Excel, Outlook, Word), ERP data entrys
• Bachelor’s degree from a commercial, logistics or business background preferable
• Prior experience in clearing and forwarding industry would be an added
advantage
• Strong relationship management and client–facing skills
• Multi–tasking abilities
• Self–motivated and capable of working under pressure to meet deadlines
