Duties

Track Maintenance and Repair 60%

  • Receives maintenance and repair requests from personnel at all levels of the Embassy via the computerized maintenance management system CMMS program for all Government owned (GO) and long/short-termed leased (LTL/STL) properties and distributes them to the appropriate shop for action. Coordinates with the Engineers and the Senior Facility Manager to prioritize requests.
  • Processes the auto generated preventive maintenance requests and delivers them to the Engineers for action.
  • Contacts STL property landlords when repair/service requests require the landlord to take action. Coordinates between the tenant and the landlord for access to the property.
  • Tracks the status of all scheduled, unscheduled and preventive maintenance work orders from date of issuance to work close out.
  • Will generate weekly/monthly reports, including printouts that include statistics on approved, outstanding, and completed work orders, labor hours and materials used for the Senior Facility Manager and Engineers review so section performance can be evaluated.

Administrative Responsibilities 40%

  • Assists the Senior Facility Manager and the Engineers with creating and developing the yearly 7901.C and 7901.3 budgets.
  • Is sub-cashier for the Facility Management Office. Is responsible and accountable for upwards of US $5000 every month. Maintains accurate records and reports, coordinates cash replenishments with the Financial Management office.
  • Process small project contractor and Building Maintenance Expense (BME) vendor invoices and prepares the same for the Senior Facility Manager’s signature prior to delivering the same to the Financial Management office for payment.
  • Performs administrative duties as assigned by the Senior Facility Manager such as drafting memos, typing correspondence and maintaining all files, records and reports in the absence of the Administrative Assistant.
  • Tasks may include acting as a basic translator at meetings with contractor/vendors, or written translation of local technical information into English for the Senior Facility Manager.
  • Escorts section visitors from the compound access control (CAC) point to the Facility Management office for meetings with section personnel.
  • Is alternate timekeeper for the Facility Management Section.

Duties

Operation: 50%

  • Repairs malfunctioning electrical systems and ensures that all tasks are completed in accordance with applicable codes and manufacturers’ recommendations.
  • Plans the layout and installation of electrical wiring, equipment and fixtures, including drawing preliminary sketches and making cost estimates for materials and services.
  • Monitors and inspects generator equipment to detect problems; controls generator output; installs standby generators and ensures operational condition in emergencies.
  • Assemble, install, test, and maintain electrical or electronic wiring, equipment, appliances, apparatus, and fixtures
  • Responds to emergency calls during off-duty hours when critical systems stop functioning or when there is an imminent threat to the safety of personnel or structural integrity.

  • Contributes to the safety program managed by the Post Occupational Safety and Health Officer (FM).

Maintenance: 40%

  • Performs preventive maintenance by inspecting, adjusting, and troubleshooting electrical systems to ensure reliable operation and uninterrupted electrical current to critical facilities.
  • Inspects electrical systems and equipment to identify hazards, defects, and the need for adjustment or repair, and to ensure compliance with the reporting requirements of the Overseas Buildings Operations Annual

Duties

1. Ensuring efficiency and effectiveness through visitors and calendar management 30%

The job holder is the focal point of contact and administrative support for the OD. Efficiency and effectiveness is achieved, in part, through management of CD, DCD and ADP calendars (e.g., adding, changing, and deleting meetings on the schedule, reminding leadership of upcoming appointments, providing background information related to the visitor and meeting), coordinating logistics for OD visits/meetings (e.g., scheduling meeting rooms and times, facilitating security screening of visitors, canceling/rescheduling meetings immediately upon notification, providing excellent professionalism and customer service to visitors). The job holder should anticipate any issues or problems relevant to the smooth execution of pre-, during and post meeting events.

2. Management of Meetings and Conferences 25%

The job holder ensures meeting agendas are developed prior to meetings and meeting logistics are arranged days prior to the meeting/visit/conference. The job holder organizes and arranges logistics for meetings/conferences as necessary, including, but not limited to booking meeting/conference venues, printing of needed materials, coordinating participant invites, and following up with invitees/participants. The job holder takes meeting notes and notes in OD meetings, all-hands meetings, and as required by leadership. The incumbent arranges transportation for the CD, DD and ADP for in-town meetings and coordinates with appropriate CDC Tanzania staff transportation and travel arrangements for official international travel.

3. Mail and Correspondences 20%

The job holder reviews incoming official mail routed CDC via other USG agencies, partners, and the US Mission. The job holder determines the appropriate further routing of mail to reach a successful and appropriate close of the mail request. The job holder uses discretion to determine what should be routed to the CD and DD for information or action. The job holder must have excellent communication skills both verbal and written. In addition, the job holder must ensure grammatical accuracy and clarity of all correspondence by reviewing all outgoing communications from the OD. This includes all correspondence signed by the leadership. The incumbent must also keep up to date with all key CDC partners and stakeholders to understand the diplomatic routing of correspondence and required Government of Tanzania protocols.

4. General Administrative Tasks 15%

The job holder provides general administrative tasks such as faxing, mailing, filing and photocopying as required by leadership. The job holder maintains an electronic filing system (using a Microsoft Office application) and a paper-based filing system when necessary, and ensures files are organized and maintained on a constant basis. The incumbent maintains and frequently updates a database of complete names and contact details for principals of bilateral/multilateral organizations, implementing partners, Government of Tanzania officials, USG agency officials, US Mission to Tanzania officials, and civil service representatives.

Incumbent coordinates and logs all vehicle requests for CDC staff, TDY staff and consultants with motor pool staff at the Embassy. Job holder arranges alternate transport as necessary when US Embassy motor pool is not available or is not in USG best interest. Incumbent communicates with staff on all vehicle arrangements and monitoring successful implementation of vehicle requests.

5. Travel 10%

The job holder is responsible for ensuring that plans and logistics related to travel for the CD, DD and ADP meet the policies and standards of the U.S mission and the CDC, as well as provide adequate support to achieve the objectives for travel. The job holder arranges transportation for in country and international trips for the CD, DD and ADP. The job holder prepares travel requests and follows through with obtaining travel authorizations. The job holder in collaboration with the embassy and CDC travel preparers, arranges and confirms all travel plans and procedures for the leadership. The job holder drafts trip schedules/itineraries, prepares briefing documents for site visits, and ensures that site visit logistics are determined and executed. The job holder also arranges transportation and expediter services at international destinations. Summary:

Duties

Under the direct supervision of the Warehouse Foreman the incumbent works with the labor crew performing various kinds of unskilled manual work and skilled manual supply duties at the Embassy warehouse, offices, residences, and other locations as needed.

1. Warehouse and property moves: 30%

Carries out work orders for embassy clients, assists in packing and transporting picked items from inventory to new locations. Unpacks and sets up assets in new location in coordination with client.

2. Moves incoming supplies to proper storage areas: 30%

Using hand trucks and other material handling equipment. Maintains safe and clean work environment by
keeping shelves, pallet area, and receiving area neat; maintaining clean shipping supply area; complying with procedures, rules, and regulations.

3. Arrangement of conferences as per e-services: 20%

Arranges tables, chairs, as well as other requests by the client.

4. Assists in arranging for representational and community events. 20%

5. Any other duties as may be assigned by the supervisor, including document shredding.

Requirements:

EXPERIENCE: One year of warehouse experience or equivalent combination of warehouse and labor activities is required.

LANGUAGE: Limited Knowledge (reading, speaking, and writing) in English is required and Limited Knowledge (reading, speaking, and writing) in Kiswahili is required. “This may be tested”

COVID-19 Requirements for Eligible Family Members
